Kaufmann seeks more dynamic workflows and less wasted time

A foundation for future digital development

Reduced time waste and more dynamic workflows are the early outcomes of implementing Microsoft Dynamics NAV at Kaufmann’s headquarters in Aarhus. This is the financial backbone of the fashion retailer’s 45-store chain.

Initially, Kaufmann planned to upgrade from their old system. However, the gap between the legacy Navision system and the latest Dynamics NAV version was too large, prompting a full reimplementation instead. Historical data was archived for future reference.

Faster systems without legacy data

CFO Berit Klibo explains that although the original goal was to upgrade and retain EasyPOS integration, the new setup without large volumes of data proved faster and more efficient:

“Our processes are quicker, and we waste less time in the department,” says Berit Klibo. “We expect this to be particularly valuable during the holiday season, when around 20% of our annual revenue is generated.”

Project lead Jannie Theilade Thomsen also highlights the usefulness of the NAV Role Center, which is configured with a standard finance role:

“Each of us is responsible for a group of stores, and now we can access the relevant journals directly from our dashboards—no need to scroll through them all,” she explains.

Seamless integration with Document Capture and POS Key integrations were preserved in the new solution, including EasyPOS and Document Capture. All invoices are registered at the HQ and then sent to the relevant store for review against deliveries. Store managers approve invoices in EasyPOS, after which they are processed for payment at HQ.

“We now spend less time on invoice approvals, which saves money—many suppliers offer cash discounts for payments within 10 days. That’s why it was essential that Document Capture continued working seamlessly in the new NAV system,” says Klibo.

Smooth and controlled go-live

After years of using the same ERP setup, transitioning to a new system raised concerns. However, Kaufmann praises how 9altitudes handled the implementation:

“An efficient test environment was set up early, allowing us to verify communication between NAV, EasyPOS, and Document Capture. As a result, all key processes worked smoothly when we went live,” Klibo reports.

9altitudes also collaborated closely with Kaufmann’s internal IT team and EasyPOS provider Microcom.

With consultants who bring real-world business experience, Kaufmann was assigned a finance-savvy consultant from 9altitudes:

“It makes a big difference when the consultant speaks our language and understands our challenges,” say Klibo and Thomsen.

The successful collaboration has now led to a series of new projects previously on hold. These include web-based invoice approvals in Document Capture, FIK payments, integration with Diners payment files, and automated reconciliation of credit card balances. Additionally, Kaufmann is launching webshops in Sweden and Germany, all integrated into the same accounting system.
