How 9altitudes leverages AI: The story behind the 9AI Copilot agent

“We noticed people were spending way too much time digging through SharePoint, Teams, or old emails just to find details for meetings or proposals,” says Joni, Business Application Owner M365. “It wasn’t that the information didn’t exist, it just wasn’t always easy to access.”

The challenge: too much information, too little time

In a fast-paced business environment, knowledge is power. But only when it’s within reach. Teams across 9altitudes often needed to prepare presentations, validate ideas, or create content. Yet valuable insights were scattered across platforms, leading to inefficiencies and inconsistent messaging.

“We wanted to make knowledge sharing effortless,” Joni explains. “Everyone should have instant access to accurate, company-wide information, no matter their role or location.”

The solution: the 9AI Copilot agent

To address these challenges, the internal innovation team launched the 9AI Agent, a digital assistant built using Microsoft Copilot Studio.
Its goal? To democratize access to knowledge and help every 9altitudes employee tell the same story, fast and consistently.

By leveraging Copilot and grounding it in the company’s internal data, 9AI ensures that employees get answers based on trusted sources like internal documentation, best practices, and product materials.

“It’s like having an expert by your side,” says Joni. “Whether you’re in marketing, sales, or consulting. 9AI gives you the right information when you need it.”

Behind the scenes: technical hurdles

The project wasn’t without challenges. While most data lived in SharePoint Online, some valuable implementation knowledge was stored in a separate Azure storage account, home to the company’s internal 9A Wiki.

To bridge that gap, the team developed an MCP server that could authenticate users and process content securely, allowing the agent to deliver complete and accurate answers.

After extensive testing, the team found that Azure AI Search offered the perfect balance between quality and speed, ensuring fast responses without compromising accuracy.
